ADMINISTRATIVE PAYABLES & RECEIVABLES SUPPORT

Know what is recorded, outstanding, and awaiting an answer.

Keep your bills and invoices organized with administrative bookkeeping support from The Nexus Advisors. We help maintain a usable record of due dates, recorded payments, and open balances while your business retains control of payment and collection decisions.

Our role is preparation and support. Nexus is not a CPA firm and does not hold a CPA designation. We prepare bookkeeping records and draft materials; your independent CPA handles professional review.

THE STARTING POINT

A practical view of what is due and what is owed.

An outstanding balance is only as useful as the records behind it. A missing credit note, an unmatched receipt, or a duplicate bill can make the picture difficult to interpret. We help organize the documents and track the questions needed to understand the recorded position.

This service covers administrative tracking, not moving money or collecting debts. You approve the underlying transactions, decide when to pay, and manage customer or vendor communications. We agree on the accounts, reporting frequency, and treatment of unresolved items before work starts.

WHAT THE WORK CAN INCLUDE

A clear scope.
Useful preparation.

01

Bill and invoice registers

Organized records of the bills and invoices you provide, including relevant dates, references, and amounts. Missing documents and possible duplicates are flagged so you can confirm the correct treatment.

02

Due-date tracking

A view of recorded due dates and upcoming items based on source documents and your instructions. The schedule supports your decisions without approving, scheduling, or initiating payments on your behalf.

03

Recorded payment matching

Match documented payments and receipts to the corresponding bills or invoices where the records support it. Unmatched amounts remain identified for clarification; we do not assume that a balance has been settled.

04

Draft aging schedules

Draft schedules showing recorded open balances by age, prepared for your review and, where needed, your independent CPA. They reflect the available records rather than a confirmation from customers or vendors.

05

Exception and follow-up notes

A list of missing credits, unclear allocations, disputed entries, or other questions for your team. Proposed corrections are identified separately from approved changes so the status of each item is clear.

HOW WE WORK TOGETHER

From the first conversation
to a practical handoff.

  1. 01

    Set the tracking scope

Agree on the customer and vendor accounts, periods, output format, and update frequency. You provide source documents, relevant payment records, and instructions for handling questions.

  2. 02

    Organize and match records

Update the agreed registers and match documented activity. We identify gaps and inconsistent entries for your clarification, preserving the distinction between recorded information and unconfirmed items.

  3. 03

    Review the outstanding items

Share draft schedules and exceptions with your designated contact. Your business decides on payments, customer follow-up, disputes, credits, and any issues requiring your independent CPA's judgment.

A LITTLE MORE CLARITY

Questions before
we begin.

Will Nexus pay bills or collect overdue invoices?

No. This service is administrative tracking only. We do not initiate payments, control your funds, contact debtors for collection, negotiate settlements, or exercise payment or collection authority.

Can you help explain differences in open balances?

We can trace differences through the supplied bookkeeping records and supporting documents, then identify unresolved questions. Your team confirms disputed items and approves any correction, credit, or write-off.

Is an aging schedule a CPA-reviewed report?

No. Our schedules are draft bookkeeping outputs. Nexus is not a CPA firm and has no CPA designation. Your independent CPA performs any professional review you separately arrange.
